How to Find and Keep Shared Folders & Files

When a folder is shared with you in Google Drive you will not automatically see the folder in  your drive when you open your account.

First,  go to the Shared with Me tab. Your screen will either show a list or icons of folders or docs shared with you by date depending on  your screen view.

Next, you have to Add to My Drive and then all changes to the file or folder will be automatically be updated in My Drive. This can be accomplished in two ways.

The first is to select the file or doc and RIGHT click (on a Mac two fingers on the track pad and click with your thumb or another finger). A window will open, select Add to My Drive.

Another way to Add to My Drive is to select the file/folder (it will be highlighted) and then click on the icon Add to My Drive.

8/21/2015

We all love to revisit places we have been to before and the world wide web is no different. To find our way back to some of our favorite places, we often create bookmarks. The question becomes, do you bring these bookmarks with you when you get a new device or is it like a new year, and you start fresh, with a clean slate?  If you want to bring your book marks with you, it is not very difficult.  It requires, exporting the bookmarks and then importing them when you get your new device.

Both Safari and Firefox do a nice job explaining the steps how moving your bookmarks. You can even use the directions linked below to export these bookmarks right to Chrome and then save yourself a step and not have to import them when you get your new device. For instructions from Firefox, go to here.  For instructions for Safari go this link.

If you are a Chrome user, which means you set up a profile in Chrome. Your bookmarks sync from device to device so there is no need to export bookmarks.

Directions on how to set up a Chrome profile can be found here. And are copied below.
  1. Open Chrome.
  2. In the top-right corner of the browser window, click the button with your name or email address.
  3. Click Sign in to Chrome.
  4. Sign in with your Google Account.
  5. To customize your sync settings, click Settings. This lets you choose what information to share across other devices where you're signed into Chrome.
  6. If you share your computer with others, learn how to manage multiple people in Chrome.

Note: If you’ve already created a sync passphrase to protect your data, you'll need to provide the passphrase when you sign in. If you forget your passphrase, you’ll need to reset sync.

Want to learn more about using Google Tools, like Docs, Drives and Sites? Here are two ways to learn at your own pace and both are FREE!

Google provides free lessons on it’s Google for Education Website. Lessons run from 15- 30 minutes and are broken down into modules. There are short videos included and you can easily choose to move from one lesson to the next or between basic and advanced lessons.

Another fun way to improve your Google prowess is to visit the Google Ninja Program. This program started as a way to help students show mastery of Google Apps and now has expanded to an online learning site for students and teachers alike. The courses include videos and tasks to help you cover the main skills before you move on. If you need help there are forums where you can post questions and find answers.

Google Drive

Google Drive

One great feature about Google Drive is that it can house all of your files including images, videos, Excel spreadsheets, PowerPoint and Word documents etc. You can choose to keep files in their original format and use Drive to ‘house’ or back up your files or you can convert your files to Google Format. Storing files on any device is risky as there is no guarantee that the files can be recovered.

Here is a PSA I made to remind students and faculty to save their files to drive, as well as a screencast to show how to upload files, and step-by-step directions for downloading.
